1. Accessing Pabbly Connect for Integration

To start integrating Google Forms with Google Chat Hangouts, first access Pabbly Connect by visiting pabbly.com. This platform is essential for creating the automation you need.

After navigating to the website, sign in to your Pabbly account. You’ll see options to either sign in or sign up. New users can create an account for free, while existing users can simply log in. Once logged in, select Pabbly Connect from the dashboard to begin.

2. Creating a Workflow in Pabbly Connect

In this step, we will create a new workflow in Pabbly Connect to automate the process. Click on the “Create from Scratch” button to start. Name your workflow something descriptive, like “Automatically Send Google Forms Responses to Google Chat”.

Click on the plus icon to create a new folder if needed.
Select your folder, such as “Forms Automation”.
Click on “Create” to finalize your workflow setup.

Once created, you will see a box prompting you to enter your trigger application. Select Google Forms as your trigger event, specifically “New Response Received”. This sets up the automation to activate when a new form submission occurs.

Install the add-on and refresh Google Sheets.
Click on Extensions, then Pabbly Connect Webhooks, and select Initial Setup.
Paste the webhook URL from Pabbly Connect into the setup box.

In the setup, specify the trigger column in your spreadsheet. For example, if your final data entry column is F, this means data from that column will be sent to Pabbly Connect. Click on “Send Test” to verify the setup.

5. Sending Data to Google Chat Hangouts

Finally, you will configure Pabbly Connect to send the captured data to Google Chat Hangouts. Add a new action step and select Google Chat as the action application. Choose “Create Message” as the action event.

To get the chat webhook URL, open your Google Chat space, click on the settings arrow, and select “Apps and Integration”. Here, create a new webhook and give it a name. Copy the generated webhook URL back to Pabbly Connect.

Enter a message template, such as “Hello team, we have received a new form submission!”.
Map the fields from the Google Forms response to the message.
Test the setup to ensure messages are sent correctly.
